P1- analysing a media event.

Purpose: The purpose of the Drum n Bass DJ set Sigma attending SWX was to draw in a new crowd of people by holding a different event from their normal 'Codec' nights where they play the same music each Saturday and it was also for Sigma to release and promote their new album, 'Mortales Moshers'.
​
Content: There was a Drum and Bass DJ set that where there from 1 o'clock until 4 playing old music from previous years and new music from their upcoming album. Other than having a DJ set on that particular night, SWX have a cloakroom for those visitors who bring jackets with them, they have to pay £1 to put their jacket in, then receive a ticket that they have to keep to be able to get their jacket back.
At the venue, you can get yourself drinks at the bars, but unfortunately you can not buy food, as they do not serve food, but it's all to do with health and safety within the rules. Before Sigma played their music set, playing before was the regular DJ who plays on a normal Codec night. There is a smoking area for those who smoke are able to do so.
Other than the main stage where Sigma played their set, there are also 2 other rooms: Pop room, where they play all the cheesy songs and the RNB where they play all RNB songs throughout the years.

Target Audience: SWXs' target audience would be from the ages of 18 + because, it's a night club that contains alcohol and legally you must be 18 or over to go on a night out in town.
​
Design/Style: The layout of SWX is pretty simple. As you walk into the mains doors, you go up some stairs that takes you to the main stage. Two bars, left and right, a control pad at the back of the floor by the bar, a cloak room, the main floor with platforms either side and the stage centred in the middle back. Stairs throughout that take you to either the Pop room or the RNB room. Both of those room have bars and seats around the side.
The colours used through SWX are quite dark, mostly black, but with different coloured lights. This is because it's a night club and SWX had the design of wanting to give it a night out vibe and added colour lights to make it more like a rav and in the style of a club.

Location: 15 Nelson Street, Bristol, BS1 2JY. For event such as the DJ set Sigma to perform or a normal Codec night, it needs to be spacious to allow attendees to fit in and for the venue to fit in their capacity. If it wasn't here and in a different venue, they'd only be allowed to fit a certain amount of people which would be half of what they get. Which is making them have less revenue in terms of money loss and attraction.
​
Suitability: Any SWX night or event especially this one is legally suitable for 18 and overs. In terms of location for this event it is practical and suitable, as it's in the centre of Bristol which is easy to get to by car,taxi or bus.
Once in the night club, it is easy to get on and off dancefloors, as they are all very spacious and there is easy access to the stairs if it gets too busy, if you want to go to another room or if anyone is in need of an emergency exit.
If SWX was in a different location, transport would effected. For those who take the bus, buses only go a certain distance before they stopped. Cars and taxis aren't badly affected, but with taxis, cost is going to be higher then if you were to go into town.

Legal and ethical: With this even there are legal and ethical issues to consider.
A major legal issue to consider is the copyright act, this has to be watched very carefully just to ensure 'Sigma' do not use any other content other than their own and also that the venue, SWX do not take any music or if they do to make sure they have gotten permission off the DJ set that it is ok to use. To minimise this SWX will have PPL music licenses which they would need to showcase live music and play recorded music.
Fail to get permission or not have a PPL music license, may end in a lawsuit between the company and DJ set.
To be on the safe side of things, during production of their music and sets, they will have to double check through everything before putting it in.

Ethically, Sigma need to again make sure that there are no inappropriate signs throughout their sets so that they do not offend the following: race, gender or religion because any offence or use of inappropriate content towards an individual is straight up defamation.
​
In terms of ID takings they have multiple security guards outside the main doors who check ID's. There's a camera that your ID gets placed on to make sure it's you, but tackling fake ID is another thing. If they suspect fake ID or they are unsure if it's the person in front of them, they ask questions like, 'When is your birthday?', 'What sign are you?'. If the visitor hesitates they then question more.
Before entering the club, if a visitor is to have a bag on their person, security will ask to check it, just to make sure they are not in possession of excess alcohol or drugs. They stop serving to those who are overly drunk, due to safety.

Health and Safety: With this SWX are good with their health and safety. On each door and corridor they have security guards to ensure there is no harm caused throughout the night to either staff or attendees. If something doesn't look or seem right, they are straight there, looking over to ensure everyone is ok.
​
-The Health and Safety at Work Act 1974- lays down wide ranging duties on employers. Employers must protect the 'health, safety and welfare' at work of all their employees, as well as others on their premises.' This Act should legally be set in place so that there is the expectation set and that all employees and others know that they are safe.
​
-PPE: Personal protective equipment- is equipment that is to be worn to minimise exposure to hazards that can cause serious workplace injuries and illnesses. '
​
-COSHH: Control of Substances Hazardous to Health- employers need to either prevent or reduce their workers' exposure to substances that are hazardous to their health.
​
All these laws are legal set in place in any workplace to ensure that all staff members and attendees are safe.

Theme:
At the ‘End of Year awards’ for the students at Boomsatsuma the theme is going to be quite simple, but it’s also going to show off Boomsatsuma taking from their colours that represent them.
There will be orange and black balloon that make it quite simple, but adds to make it look like something is happening and bunting to top it off. The bunting will also be orange and black.

Logistics and procurement:
Will include our target audience, role allocation, advertising and catering. As we are hosting on awards we need to make sure that we have sorted out what we could need:

Advertising- if we were to advertise around the classroom we would include poster design as a way to inform other students in the media class that there will soon be awards being presented. We will also use direct mail to invite these students.
​

Target audience- our target would be those who may be leaving for school either in secondary school or college. The main ages would be 16- 19 years old. I think that this would them the most think having awards would be more relatable.

Role allocation- in our group everyone would be pick different roles that will be played in our group to help create our end of year award roles be these include:

hospitality and catering:
As we are running an event and there will be 18 students including teachers, we will provide snacks such as; sandwiches, crisps and sweets. Before providing the snacks, we will have to check around the students to see if any of them have allegories.
Regarding drinks, the Cabot Eye has a coffee and tea facility that the students can get a drink from or if they didn’t want any of that, they could all bring their own drinks along.

The boomsatsuma end of year awards will take place on Friday 6th of July at 2:55pm.
The day will go as follows;
2:55pm – 3:05pm Preparations and pre-show.
During this time, we shall make final set design decorations like the balloons and banners and we'll also rearrange some seating.
3:05pm – 3:10pm Event introduction.
Now once everyone has been seated, our lovely host will begin introduction the event.

This will include a short overview of the awards and how it will have structured.
3:10pm – 3:40pm Main award ceremony.
This is where our host will hand out the award certificates. Each award will last around 3 minutes or so.
3:40pm- 4:00pm Wrap up event closing.
Here we will end the whole event this includes escorting guest out and tidying up the stage.
legal and ethical requirements:
What we have decided to do was to ensure our final project would be covered by legal and ethical issues such as permission to film, royalties, violent offensive language/ behaviour / material etc. In each paragraph I will be covering why I have picked these as my legal/ethical issues.
Location release form - Before setting up the event inside our media class, we have to get permission from our teacher, Reece. This is just in case the classroom would become booked or our teacher would become unavailable and need to find a different teacher to cover.
Permission to film- If we were to film inside the media classroom and were to upload to YouTube we first need to get permission from those who show their faces for example, if of the class didn’t want their faces to be showing we would have to ensure that they were not in the camera shot or blur their faces out. For these who would want to be in it, we would have to use a model release form.
Offensive language/ behaviour- when we are giving out awards to students we have to keep in mind what we say before giving them to students, such as being racist or being stereotypical, within speeches.
Behaviour would only happen during the given speech examples such as: Disruptive behaviours’ such as being out of seat and calling out in class, swearing and screaming or even refusing to follow instruction etc. Many of these things could happen during the award show, so we will make sure this won’t happen is by stewarding the event and rending any disputation from the audience.

Here are just a handful of images taken before and during 'The Boomsatsuma Awards' Ceremony.

The first few images are showing the team setting up the event, arranging the seating found in P2, set design and constructing the banners that stood either side of the projector screen.
Sadly there's no images to show the team blowing up the balloons and taping them to the backs of the chairs or images of us removing the tables from the room to make up extra space for the event to take place.
​

My role that I took on hand was theme and I feel it all looked rather ravishing!
p4- feedback from the media exhibition.

'Hey team,
Well done for all the hard work you put into the awards ceremony yesterday. It was great to see everyone have a laugh and be rewarded for all the effort they have put in over the last two years. You did a great job of organising the whole event from the venue design down to the certificates. There was a range of awards that catered for all attendees and also a good mix of humour and achievement throughout the event.
The colour schemes of orange and black worked well with the event and I felt it was important how you setup the room with isles of chairs so that your attendees could easily move around. Lastly, the photography of the event looks excellent.
It is important with these celebratory events that people have memories to cherish, especially for those who won awards.

"The set up of the awards ceremony was quick and easy. I liked the use of the balloons that matched the colour scheme of boomsatsuma and the pop up banner which included boomsatuma graphics and courses on, this made the event feel professional.
The layout of the room was appropriate for the style of event, by moving the tables out of the classroom and setting up the chairs with a walkway left in the middle, this meant that students who received awards could walk through comfortably to receive their award. With the projector being at the front, we were able to see the presenter (Reece) and the certificates that were being awarded, this was as he was stood in the middle at the front. This also allowed for Matt who was the photographer at the event to take photos from different angles.
The certificates were well made and included all the appropriate graphics and award titles that were needed for the event. An improvement here would have been to ensure that the films that students had made (and were getting an award for) were ready to play for the group to watch. This would have been good as then it would have put the award in perspective, and to also give those who had not viewed the outcome a chance to view it.
Overall, I think this event was well organised and set up, for next time it would be nice to see something else on the projector, as although the boomsatsuma logo looked good, a short show reel or everyone's work over the past 2 years would have set the scene. Good job!"

p5- evaluate feedback.
For this unit we have gained back positive feedback about how the event went. As seen in P3 the first 3 images are of us setting up the room to go with the set design shown in P1 and then the rest are of images during the event.
I took on theme and hospitality so I turned on my 'interior design' and wanted everything to be perfect and accurate. The strength that came off being an 'interior designer' is that the creativity I have just flowed and allowed me to be in my element of what I wanted to see. A weakness that came across as an interior design was the fact I didn't have a set budget to go off so, I found it hard to dress up the set to what I could.
Through the event, setting up and arranging, as a team we kept to what we had planned throughout and didn't change anything. From the plan, the event went well and didn't go wrong. All team members knew what they had to do and kept to that. Matthew was a fabulous cameraman capturing images throughout the event which is great evidence.
​
Being on theme and hospitality, there is responsibility, not so much on hospitality and catering because that's just getting a few bits of food together, but being on theme is because what you set has to fit not just you, but your audience. This is a new skill to me, developing my 'interior design' skills and I feel like I did a good job. Me and my team liked what we had put together and so did the audience.
​
Even though I had role, I also helped throughout the event with other things too. I helped create the space for the event to be able to take place, I helped organise the awards that were given out and I helped organise the planning.
​
As shown you can see balloons on the chairs, but unfortunately there are no images showing the process of them 'coming alive' for the event. The banners ( P2, theme) read what type of event that is taking place and put up by me and Harrison. Chairs being arranged into lines with an isle in between to give room for people to walk down if they were rewarded with an award.
​
I believe as a team, we smashed the event and it couldn't have gone better.
​
